Privacy Policy

Effective

This Privacy Policy explains what personal data PingMyNetwork collects, why, who receives it, how long we keep it and how you can exercise your rights. It applies to our website, our platform and our emails. Section 4 explains how we use cookies.

1. Who we are

PingMyNetwork SAS, 8 place Roger Salengro, 31000 Toulouse, France, registered with the Toulouse Trade and Companies Register under number 108 564 345, is the controller of your personal data. Contact: contact@pingmynetwork.com.

If you access PingMyNetwork through your employer, school or university, your organisation is the controller of some of your data (see section 5).

2. The data we collect

We group the personal data we collect into the following categories:

  • Identity and contact data: your name, email address, password (stored as a hash), language and country.

  • Profile data: your display name, avatar and any information you choose to add to your profile, such as a description or links to your social media. Your profile is public: other users and anyone on the internet, including search engines, can see it.

  • Learning data: your activity on the platform, such as learning progress and achievements.

  • Payment data: your billing name and address, country, plan, amounts paid and the last four digits of your card. We never see or store your full card number.

  • Communications data: your support messages, feedback, survey answers and testimonials.

  • Technical data: your IP address, device and browser type, the pages you view, the dates and times of your visits, and identifiers from cookies and similar technologies.

  • Marketing data: your email preferences, how you found us (including an affiliate referral) and, with your consent, advertising cookie identifiers.

We collect most of this data directly from you or through your use of the platform. We also receive payment data from our payment provider, Stripe, and affiliate referrals from FirstPromoter.

3. How we use your data

For each purpose below, we state the legal basis we rely on under EU and UK data protection law.

  • Providing the service. We use your Identity and contact data, Profile data and Learning data to create and run your account, give you access to the platform, keep your progress and show your public profile. Legal basis: performance of our contract with you.

  • Payments. We use your Payment data and Identity and contact data to process payments, issue invoices, handle refunds and meet our tax and accounting obligations. Legal basis: performance of the contract and legal obligation.

  • Service emails and support. We use your Identity and contact data and Communications data to send you emails about your account and subscription, such as purchase confirmations, renewal reminders and security notices, and to answer your requests. Legal basis: performance of the contract and our legitimate interest in helping you.

  • Improving the service. We use your Learning data and Technical data to measure how the platform is used, from our own servers and for every account, with our analytics provider Mixpanel; this processing does not depend on your cookie choices. We also analyse your Communications data to improve the service. Legal basis: our legitimate interest in operating and improving the service. You can object at any time by writing to contact@pingmynetwork.com.

  • Marketing. We use your Identity and contact data and Marketing data to send you news and offers (with your consent or, if you are a customer, on the basis of our legitimate interest in promoting similar services; every email has an unsubscribe link), to invite you to review us on Trustpilot (legitimate interest; you may opt out at any time) and to reward the affiliates who referred you (legitimate interest, and your consent for the affiliate cookie). With your consent, we also use your Technical data and Marketing data to link your visits before sign-up to your account (section 4) and to measure our advertising and show you our ads on other sites with Google Ads and Meta. For the Meta pixel, we and Meta are joint controllers. We never use advertising tools for members of an organisation that pays for PingMyNetwork, nor for members of a school or university organisation.

  • Testimonials. With your consent, which you can withdraw at any time, we publish your testimonial or success story with your name, photo or employer.

  • Security and legal obligations. We use your Technical data, Identity and contact data and Payment data to prevent fraud and abuse, secure the platform and enforce our Terms (legitimate interest), and the data required in each case to comply with the law and answer authorities (legal obligation).

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects on you.

5. Organisation accounts

If your employer, school or university provides your access, its admins and instructors can see your learning progress and results. For that data, your organisation is the controller and we act as its processor under our Data Processing Addendum. Questions about how your organisation uses that data should be addressed to your organisation.

Your account remains yours: if you leave the organisation, you retain your account and your own learning history, and we remain the controller for them under this policy.

6. Who we share your data with

We share your personal data only in the following cases:

  • With other users and the public, to the extent of your public profile.
